Organising the work

Labels, dates, checklists and filters: what makes a board with many cards readable.

Reviewed on September 14, 2026

Labels

A label is a colour with a name. It suits information that is recognised at a glance and recurs often: which client the work belongs to, what type it is, or whether it is blocked.

Labels belong to the workspace, not to an individual board. As a result, «Urgent» means the same thing across every board in that workspace, and renaming or deleting it affects all of them. With the cursor over a card, the «l» key opens the picker.

Dates

A card takes a start date, a due date, or both. The due date is the one shown on the card and the one that changes colour as it approaches or passes.

Dates also feed the Planner and the Calendar: a card without a date appears in neither view. With the cursor over the card, the «d» key opens the picker.

Checklists

Checklists are defined inside a card and break the work into steps. The card shows the progress without needing to be opened.

Each item takes its own date and assignee, and that is what distinguishes a checklist from a list written in the description: a step with an owner and a date is a commitment, not a note.

Other elements of a card

Available without leaving the open card:

Description
The long-form text. Supports formatting and links.
Attachments
Files and images. An attached image can be used as the cover.
Cover
A colour or an image, visible from the board itself.
Location
An address, which is what places the card on the map view.
Custom fields
Whatever each board defines from its own menu, for information that does not fit the elements above.

Filters

A filter temporarily hides the cards that do not match the stated criterion: label, person, date or text. It does not modify the board, only what appears on screen.

The «f» key opens the filter and the «x» key clears it. That second shortcut matters more than it appears to: a board with a filter left active reads as a board with cards missing.
